Notifications
The bell in the console header and the full notification history behind it — what lands there, where each notification leads, marking items read or unread, deleting them, and how email copies relate.
Notifications are the console telling you that something needs you: a review assigned to you, a draft waiting for a publisher, a comment, a field report from an operator. They are written by the database as things happen, and each one belongs to one person in one agency. Nobody else sees your notifications, and nothing on this page needs a permission.
You see them in two places: the bell in the header, and the full history at Notifications (opens the admin console). Open the full page from the bell's View all notifications, from the command palette (Ctrl+K or Cmd+K, then "Notifications"), or from All notifications on the dashboard's Mentions & threads card.
Notifications are per agency. If you belong to more than one, each shows only its own; switch agency to see the other's.
The bell
The number on the bell is how many of your notifications in this agency are unread — all of them, not just the ones the menu shows. Above nine it shows 9+.
Select the bell to see your latest 15 notifications, newest first. Unread ones are tinted, in bold and carry a filled dot. Each shows its message, what kind of notification it is, and how long ago it arrived.
- Opening the bell marks nothing read. A notification stays unread until you open it, toggle it, or choose Mark all as read.
- Select a notification to go where it leads (see the table below). That one notification is marked read.
- The dot on the right marks that notification read, or unread again, without opening it. A filled dot means unread; an outline means read.
- Mark all as read marks every unread notification you have in this agency read, including ones too old to appear in the menu.
- View all notifications opens the full page. The gear opens your notification preferences in Account settings.
With Live updates on (Settings → Features), the bell changes the moment a notification arrives or you read one in another tab. With it off, the bell checks every two minutes and whenever you open it.
The notifications page
The full history, 25 to a page, newest first. Previous and Next move between pages.
| Control | What it does |
|---|---|
| Unread / All | Show only unread notifications, or everything (the default). |
| Kind | All kinds, or one kind of notification from the table below. |
| Mark all as read | Marks every unread notification you have in this agency read — whatever the filters are showing. Greyed out when nothing is unread. |
| Email preferences | Opens Account settings → Notifications, where you choose what is emailed. |
The filters and the page number are kept in the address bar, so a filtered view survives a reload and can be bookmarked.
Each row shows a dot when it is unread, an icon for its kind, the message, and the kind and time (hover over the time for the exact date). On the right:
- Select the message to go where it leads. The notification is marked read.
- Mark read / Mark unread flips it without opening it.
- The bin deletes it straight away. There is no undo, and it goes from the bell too.
When the list is empty it says so: "No notifications yet" with nothing filtered, "You're all caught up" on Unread, or "Nothing matches these filters" with Show all notifications to clear them. If the list cannot load, the error from the server is shown in its place.
Read notifications are deleted automatically 90 days after you read them. Unread ones are kept until you read or delete them.
What lands here, and where it leads
| Kind | Who gets it | Selecting it opens |
|---|---|---|
| Review assigned to you | The new reviewer, unless they assigned it to themselves | The item |
| Changes requested | The author, when a reviewer returns their item to draft | The item |
| You were mentioned | Each colleague @mentioned in a review comment | The item |
| Submitted for review | Everyone else who holds Publish | The item |
| Comments and replies | The item's author, everyone who has commented on it, and the author of the comment replied to | The item |
| Field report raised | Everyone who holds Edit content, for the first open report on an item | Field reports (opens the admin console) |
| Review overdue | Everyone who holds Publish, daily, at most once every 30 days per item | Review due (opens the admin console) |
| ROK Library corrections | Everyone who holds Edit content, when Library content your agency imported is corrected | ROK Library (opens the admin console) |
| Someone could not join | People who manage users, billing or access codes, when an operator is turned away because every seat is taken (at most once a day each) | Access codes (opens the admin console) |
| Badge nominations | People who can award badges, when a member is nominated | Awards (opens the admin console) |
| Sponsored plan (granted, ending soon, ended) | People who hold Manage billing | Billing (opens the admin console) |
If the item a notification was about is deleted, the notification goes with it.
Email copies
The same notifications can also reach you by email. By default you are emailed about the kinds that ask you to do something; you can change which, or switch email off, per agency, in Account settings → Notifications.
- Several notifications arriving together come as one email, about a minute after the first.
- A notification you read in the console before its email goes out is left out of the email.
- Marking a notification unread again does not send an email for it.
