Get started

Set up your agency

The path from an empty ROK tenant to operators reading vetted content on their phones — in the order that avoids rework.

This is the short path. Each step links to the detail; do them in this order and you won't have to undo anything. Your dashboard shows the same steps as a Getting started checklist until each is done (hide it with the × if you prefer; it stays hidden on that browser).

A new agency does not start completely empty: there is a draft guide called Welcome to ROK in Content (rename or delete it), a starter access code for operators under People & access, and a review policy and security policy set to sensible defaults for you to confirm.

1. Decide who can do what

ROK grants access through groups, not job titles. A group is a bundle of permissions, and people belong to groups. Before inviting anyone, look at People & access → Groups (opens the admin console) and decide what your agency's groups should be — commonly Authors, Reviewers, and Administrators.

The permission catalog at Permissions (opens the admin console) lists every permission in plain language.

2. Set your review policy before you write

Your review interval decides how long content stays valid before ROK asks you to re-check it. Set it now, under Settings, so content you create today starts ageing correctly rather than inheriting a default you didn't choose.

If some content needs two people to sign it off, set up approval policies at the same time. See How two-person sign-off works.

3. Build one guide end to end

Resist the urge to bulk-import first. Take a single real procedure through the whole path — create it, tag it, submit it for review, review it, publish it — so the workflow is proven before you scale it up.

Publish a guide walks the last step.

4. Brand it

Under Settings → Branding, set your agency's name, logo and colours. Operators see this in the app, so doing it before you invite people means their first impression is your agency, not a default.

5. Invite your authors and reviewers

Now invite people from People & access → Users (opens the admin console), assigning each to the groups you defined in step 1. They get an email with a link to set a password.

6. Let operators in

Operators don't get invited one by one. Generate an access code at Access codes (opens the admin console) and share it with your agency — as the code, as a join link that fills the code in, as a QR code, or as a printed poster for the station wall. Operators sign up on the public site, redeem the code, and land in your tenant.

7. Prepare your operators

The operator app for iOS and Android is in pre-launch testing and not yet in the app stores, but your operators can be ready for it now. Each one creates an account at www.rokrescue.com/signup, confirms their email, and redeems your access code when asked — they are then a member of your agency, and the app will open straight into your content on the day they install it.

In the meantime:

  • Leave your email at www.rokrescue.com/download to hear the moment the app ships.
  • Read what you published the way your reviewers do, in the console, and fix anything that would confuse someone reading it on a phone at a job.
  • Watch People & access → Access codes to see who has joined, and chase anyone missing before launch day.
