Calendar

Scheduled publishes, publish history and re-validation deadlines on one month, week or agenda view — filter by type, status or author, and drag a scheduled item to another day.

The calendar puts your agency's editorial pipeline on dates: what is scheduled to go live, what went live when, and when published content falls due for re-validation. Open it from the sidebar under Workflow → Calendar; the sidebar shows it to people who hold Create content, Edit content or Publish.

It is a planning view. The only change you can make here is moving a scheduled publish to another day, which is offered to people who hold Publish. Everything else — writing, scheduling for the first time, reviewing — happens on the item, which every entry links to.

What appears on the calendar

Three kinds of entry, each with its own colour (the legend under the calendar names them):

EntrySits onAppears for
ScheduledThe day and time the item is due to go liveDrafts and items in review with a publish time
PublishedThe day the item was publishedPublished items
Review dueIts re-validation date: last-reviewed date (or publish date) plus the interval for its typePublished items

A published item therefore appears twice — once on the day it went live and once on the day it falls due for re-checking. Re-validation intervals come from Settings → Review policy (opens the admin console); the same dates drive Review due.

Select any entry to open the item. In month and week views, hovering over an entry shows its kind, title and exact time; the agenda prints the time on each line.

Your time zone decides the day

Entries are placed on days and times in your own time zone — the one in your profile (Account settings → Profile), or your browser's if you have not set one. The legend names it: "Times shown in …". An item publishing at 23:30 in your zone sits on that day, even if it is already the next day in UTC or wherever your browser happens to be.

Views and navigation

The buttons at the top right switch between three views:

  • Month — the whole month, Monday first. Each day shows up to three entries, then "+N more".
  • Week — seven days, Monday to Sunday, with every entry for each day. Switch to week when a month cell says "+N more".
  • Agenda — a list of every entry over the 60 days from the date in the heading, grouped by day, each line with its kind, title and time.

The arrows step back and forward — a month at a time in month view, a week in week view, and 30 days in agenda. Today jumps back to the current month, or to today in week and agenda views. Today's date is highlighted.

Filter

Filter opens a menu with three sections. Tick as many types and statuses as you like; an empty section means "all".

SectionChoices
Typeguide, article, checklist, quiz, video, audio
Statusdraft, in review, published
AuthorOne author at a time, from the people who have written content in your agency

The Filter button shows how many choices are active, and Clear next to it removes them all. Filters apply to the calendar and to the Unscheduled drafts list alike.

Status filters interact with the entry kinds: Scheduled entries belong to drafts and items in review, while Published and Review due entries belong to published items. Filtering to published alone hides every scheduled entry, for example.

Drag to reschedule

If you hold Publish, the legend adds "Drag a scheduled item to another day to reschedule it", and Scheduled entries can be dragged in month and week views. Drop one on another day and it is saved straight away; the legend shows "saving…" until it is done.

  • The time of day stays the same in your zone. A 06:00 shift-change publish dragged to Thursday still goes live at 06:00 on Thursday, even if a daylight-saving change falls in between.
  • Dropping it back on its own day does nothing.
  • Only scheduled entries move. A publish date is history and a review-due date is calculated, so neither can be dragged.
  • Dropping it on a day that has already passed means its time has passed too, and the item is published within a minute — unless it is held back (see Scheduled).

Moving a scheduled publish does not change the item itself, so any two-person sign-off approvals it already has still count. It does make you the person who scheduled it: the database refuses the move from anyone without Publish, the item then goes live only while you still hold Publish, and your own approval of it does not count when the job publishes it.

To change the time of day as well, or to cancel a schedule, use Scheduled (opens the admin console).

Unscheduled drafts

The panel beside the calendar lists drafts that have no publish time — the work not yet on the calendar. It shows the twelve most recently edited, each with its type and author; the count in the heading is the number listed. Select one to open it. When there are none, it reads No unscheduled drafts. Items in review without a publish time are not listed.

When the page is empty or fails

  • In agenda view, "Nothing scheduled, published, or falling due in the next 60 days." means the 60-day window holds no entries.
  • If the calendar cannot load, the error message appears in its place.

The calendar loads once when you open it and does not refresh by itself. Reload it to see schedules other people have changed since.
