Organize
See every guide and its contents on one board, and drag items to reorder them, move them between guides, or take them out of a guide.
Organize is the whole guide structure on one board. Open it from the sidebar: Content → Organize. Use it when you are rearranging across guides — filing a batch of loose items, or moving procedures from one guide to another — without opening each guide in turn.
It moves items, not guides. To create a guide, add or remove sub-guides, or change where a sub-guide sits, open the guide itself and use Guide contents on its edit page.
Who can use it
The sidebar shows Organize to people who hold Edit content, and only they can drag. Anyone else who opens the page sees the board read-only. Every change writes guide membership, which the database refuses for anyone without Edit content.
The board
Top-level guides are listed alphabetically, each headed by its accent colour and its title (select the title to open the guide). Under each guide:
| Column | Holds |
|---|---|
| Direct items | Items placed directly in the top-level guide, in their current order |
| One per sub-guide | That sub-guide's items, in order. Select its title to open the sub-guide |
Each column shows how many items it holds, or "Drop items here" when it is empty.
At the bottom, Not in any guide lists every item that belongs to no guide at all, whatever its status.
Each item card shows the title, the content type, and a Draft or In review badge if the item is not published. An item that belongs to several guides appears in each of them.
Reorder within a guide
Drag a card up or down its column and drop it. The new order is saved straight away; there is no Save button. Saving renumbers the whole guide, placing its sub-guides first (in their existing order) and then its items in the order on the board.
Order in Not in any guide is not saved. Those items belong to no guide, so they have no order.
Move between guides
Drag a card into another guide's column and drop it where you want it. What happens next:
- The item is taken out of the guide you dragged it from and added to the one you dropped it on, at the position where you dropped it.
- If the item also belongs to other guides, those memberships are untouched. Only the copy you dragged moves.
Add to or remove from a guide
- File a loose item: drag it out of Not in any guide into a guide's column. It is added to that guide.
- Take an item out of a guide: drag it into Not in any guide. Only that one membership is removed. The item itself is not deleted, unpublished or changed, and if it still belongs to another guide it stays there.
While a change is saving, dragging pauses. If the database refuses a change, the reason appears as a message and the board reloads to show what was actually saved.
What a move changes beyond the board
- What operators see. Guide structure is sent to operators' devices at their next sync, and only where both the guide and the item are published. Moving drafts has no effect in the field until they are published. Moving a published item out of a published guide removes it from that guide on devices at their next sync. See how offline reading works.
- Publish requirements. By default an item must belong to at least one guide before it can be published. An item you drag into Not in any guide fails that check the next time someone publishes it. Your agency's checks are set in Settings → Publish requirements (opens the admin console).
- Second approvals. An approval policy can name a guide, and it then covers that guide's items and the items in its sub-guides. Moving an item into or out of such a guide changes whether its next publish needs a second approval. Policies are listed in Settings → Approval policies (opens the admin console).
The two-level limit
Guides nest at most two levels: a top-level guide can hold sub-guides, and a sub-guide holds only items. Because guides themselves cannot be dragged on this board, nothing you do here can break that limit. Nesting is changed on a guide's edit page, where the database refuses a third level.
Keyboard and touch
Dragging needs a mouse, pen or touch. To reorder from the keyboard, use the Move up and Move down buttons in Guide contents on the guide's edit page.
No guides yet
"No guides yet — create one from Content → New → Guide" means your agency has no guides. Create one from New content (opens the admin console) and choose Guide as the type; items you have already written appear under Not in any guide, ready to be filed.
