New content

Start a guide, article, checklist, quiz, video or audio item, optionally from a template, and what happens the moment it first saves.

This is where every new item begins, whatever its type. Open it with New article at the top of All content (opens the admin console) (despite the name, you choose the type here), from the buttons on an empty content list, or with New content in the command palette (Ctrl+K, or Cmd+K on a Mac).

The screen itself is not locked, but creating content needs Create content: the database refuses a new item from anyone without it. In practice you need Edit content too, because the screen saves the same item repeatedly as you work and every save after the first is an edit.

Type and template

Two pickers sit above the editor.

TypeWhat you get
GuideA folder with a front page: a rich-text introduction, a cover image, and appearance settings (short description, hero image, colour). Its contents are added after the first save.
ArticleRich text, with optional PDF attachments. The default.
ChecklistSections of steps that operators tick off.
QuizQuestions with a pass mark.
VideoA link to hosted video, or an uploaded video file.
AudioA link to hosted audio, or an uploaded audio file.

Template seeds the new item with a starting structure. For an Article it is always there:

  • Blank: an empty body.
  • Procedure / SOP: headings for Purpose, Prerequisites, Steps (with a numbered list) and Cautions.
  • Field reference: headings for Overview, Key facts (with a bulleted list) and References.
  • Your agency's own article templates, listed by name after the built-in ones.

For a Guide (its introduction page) and a Checklist (its sections, steps and step notes), the picker appears once your agency has a template of that type: Blank, then your agency's templates by name. Quizzes, video and audio have no templates. Templates are managed under Content → Templates (opens the admin console).

To bring in an existing Word document or PDF, start an article and use the import button on the editor toolbar. For many documents at once, use Import documents on All content or on a guide's Guide contents instead. See Import a Word or PDF document.

The editor

Below the pickers is the same editor you use to change an item later, headed "New article", "New guide", "New checklist" and so on. Every field and toolbar control is described in The content editor. On this screen:

  • The first button is Save draft rather than Save changes.
  • The cards that belong to an existing item (sign-off, field operations, comments, history, guide contents and the rest) are not shown. They appear on the item's edit page once it exists.
  • If your agency has no guides yet, In guides says so and points you to create one.

What happens when it first saves

You do not have to press anything for the item to exist.

  • Autosave starts once there is a title. Two seconds after you stop typing, the item is saved as a Draft and appears in All content. Every later save updates that same item; your browser gives the item its identity when the screen opens, so autosave and your own save never produce two copies.
  • Uploading saves first. Adding a body image, cover, hero image, PDF attachment or media file saves the item before the upload, because a file has to belong to an item.
  • You are the author of record. Your display name, credentials and organisation from Account settings (opens the admin console) become the byline. If your profile is empty, the Author card warns that the content will carry no attribution.
  • The plan's content limit applies. If your agency is at its limit, the first save is refused and the reason appears in red at the top of the screen. Your limits are under Billing (opens the admin console).

If you leave the tab with changes not yet saved, the browser asks you to confirm.

The Publish card

ButtonAppears forWhat happens next
Save drafteveryoneSaves the item as a Draft.
Submit for reviewSubmit for reviewSaves the item straight into In review, ready for the review queue.
PublishPublishSaves the item as Published. Operators receive it at their next sync. The button stays disabled until the body is complete and your agency's required publish checks pass.
SchedulePublish (articles and guides)Saves the item with a publish time and leaves it a Draft until then. See Schedule a publish.
CanceleveryoneReturns to All content.

After any of the first four, a guide opens on its own edit page so you can add its contents straight away; anything else returns you to All content.

Every save button needs a title. A new item has no approvals, so if an approval policy covers its type, the database refuses Publish here: save it as a draft, have it approved, then publish it from the editor. See how two-person sign-off works.
