Media

Your agency's tracked files — images, PDFs, video and audio — with upload, default alt text, where each file is used, and safe detach and delete.

Media is every file your agency has stored for its content: images, PDFs, video and audio. Open it from the sidebar: Content → Media. It lists files attached to content items and files held in reserve for later, and it is where you upload in bulk so authors can attach files from any editor with Choose from library.

This is your agency's own file store. It is not the ROK content library under Content → Library, which holds curated guides you can import.

Who can use it

You holdYou can
Create content, Edit content or PublishSee Media in the sidebar, search, filter and open files
Edit contentUpload, edit details, return a file to the library, and delete
PublishAlso return to the library, or delete, a file attached to a published item

The upload, edit, detach and delete controls appear only for people who hold Edit content, and the database refuses those changes for anyone else. Attachments have no versions, so a change to one cannot be held for release: on a published item, only people who also hold Publish can detach or delete a file, or attach a file that is not an image. Anyone else is refused with "Only someone with the content.publish permission can change the attachments of a published item".

The list shows 24 files at a time; use Previous and Next below it.

Every file your agency stores is listed here. Files uploaded anywhere in the console, and files a library import copies, are registered as they land; once a night ROK also registers any stored file still missing from the list (an older upload, for example) as an unattached file, so nothing counts against your limit without appearing here.

Upload

Select Upload and choose one or more files, or drop files anywhere on the page. Files go up one at a time with a progress line ("Uploading 2 of 5 — …"), and when the batch finishes you see how many uploaded. Files uploaded here arrive unattached, ready to be picked from an editor.

KindAccepted formatsLargest file
ImagesPNG, JPEG, WebP, GIF, HEIC20 MB
PDFsPDF50 MB
VideoMP4, QuickTime (MOV), WebM500 MB
AudioMP3, M4A/AAC, WAV, WebM, Ogg100 MB

Images are resized to at most 2048 pixels and saved as JPEG or PNG in your browser before they upload; HEIC and WebP are converted and location data is removed. See media and files.

Anything that is not an image, PDF, video or audio file is skipped, and a message says how many were skipped. A file that is refused — the wrong format, too large, or over your plan's storage limit — is listed by name in an error message, and nothing is kept for it: the upload is removed again so a refused file never takes up space. The rest of the batch carries on.

The file cards

Each card shows a thumbnail (images) or an icon, and:

  • Name — the original file name, or the title of the item it belongs to if it has none.
  • Type and size, and used in N items when the file appears inside content. That count covers images placed in article and guide bodies, cover and hero images, and the media a video or audio item plays. A PDF attachment is shown by its item link instead.
  • No default alt text on images that have none yet.
  • Up to three of the file's tags.
  • The item it is attached to, as a link to that item's edit page — or a Library badge if it is unattached.

The buttons on each card:

Edit details

For an image, the dialog has Default alt text and Default caption: written once here, they pre-fill the image every time it is inserted into an article from the library. Changing them later does not rewrite images already placed in an article, because each placed image keeps its own alt text and caption.

Every file has Tags — short labels to help you recognise it. Type a tag and press Enter (or a comma). Tags are stored in lower case; Backspace in an empty tag box removes the last one. These are labels on the file only, separate from the tags on content.

Select Save. You see "Details saved."

Attach a file to content

Attaching happens in the editor, not here. Wherever an editor takes a file — a PDF attachment, a video or audio item's media, an image in the body, a cover or hero image — Choose from library lists the unattached files of that kind. Picking one attaches it to the item you are editing.

  • A file belongs to at most one item. Once attached it disappears from every picker. To use the same file in a second item, upload it again.
  • Attaching does not use more storage. The file was counted when it was uploaded.
  • Replacing a video or audio item's media returns the old file to the library rather than deleting it.

Return to library

Select Return to library on an attached file and confirm with Detach. The file stays in storage, unattached, and you see "Returned to the library." What else happens:

  • Video or audio: if the item plays this file, it loses its media until a new file is chosen.
  • Anything else: the file stops syncing to operators' devices with that item.

Delete

Select Delete asset. The confirmation tells you what the deletion will break:

  • A file used in content lists the items that use it (up to five by name) — in their current version or in the version operators have — and warns that each will show a visible "image unavailable" gap, including on operators' devices once they sync. The button reads Delete anyway. Remove the file from the content first if you can.
  • A file not used in content is described as unreferenced, and the button reads Delete.

When the deletion finishes you see "Asset deleted." and the totals update.

Files of deleted content

Deleting items from All content removes the files they had attached, unless another item still uses them — a copy made with Duplicate shares its original's files, for example. Files still in use stay here, unattached, and keep working where they are used.

Empty states

  • No media yet — your agency has no files. People who hold Edit content get an Upload files button.
  • Nothing matches the filters. — files exist, but none fit the current search, type and Unattached only settings.
